- Broad keyword sweep. Search (invoice OR receipt OR "order confirmation" OR "payment received") after:2026/01/01 before:2027/01/01. Adjust the dates to your own tax year.
- Attachments only. Add has:attachment filename:pdf to keep just the emails carrying a PDF, which is where most formal invoices live.
- Known vendors. Search from:(stripe OR paypal OR amazon OR google) and swap in the services you actually pay for, such as your hosting, software and phone provider.
- Remove noise. Add -category:promotions or -subject:newsletter to drop marketing emails that mention prices but are not bills.
- Label the results. Select all, then apply a label such as Invoices/2026. Labels do not move or change the emails; they just make them easy to find again.

Step-by-step: find receipts in Outlook
Outlook (Outlook.com, the new Outlook and classic desktop Outlook) also supports search keywords, although the syntax is slightly different from Gmail and support varies a little between versions.
- Keywords: type invoice OR receipt in the search box. Outlook searches subject, body and sender.
- Attachments: add hasattachments:yes to keep only messages with files attached.
- Subject only: subject:invoice narrows results to emails with the word in the subject line.
- Sender: from:[email protected] or just from:paypal finds everything from one vendor.
- Dates: classic Outlook accepts received:>=01/01/2026; date format follows your system settings. In the web and new Outlook you can also use the Filters menu next to the search box to set a date range.

- Link-only invoices. Many SaaS tools, utilities and marketplaces email a 'View your invoice' button instead of a PDF. Search ("view invoice" OR "download invoice" OR "your bill is ready") and download each file from the vendor's portal.
- Receipts in the email body. App stores, ride-hailing and food delivery services often put the receipt in the message itself. Print or save these as PDF.
- Promotions and Updates tabs. Gmail sometimes files billing emails as promotions. Search with in:anywhere to include every folder, including Spam and Trash.
- Forwarded or shared mailboxes. If a partner, assistant or old work address handled purchases, those invoices may sit in another inbox.
- Non-English invoices. Suppliers abroad may write 'factura', 'Rechnung' or 'facture'. Add those terms to your OR search if you buy internationally.
- Scanned paper receipts. Photos you emailed to yourself from your phone usually have image attachments (filename:jpg OR filename:png), not PDFs.
Cross-check against your bank and card statements. Every business payment on the statement should match an invoice or receipt in your folder; any gap tells you exactly what to look for.
How should you organize invoices once you find them?
Finding invoices is half the job. Storing them so you, and your accountant, can find any document in under a minute is the other half. A simple structure is enough:
- One folder per tax year, with subfolders for income (invoices you sent) and expenses (invoices and receipts you received).
- A consistent file name, such as 2026-03-14_Adobe_59.99_USD.pdf (date, vendor, amount, currency). Sorting by name then sorts by date automatically.
- A simple index, a spreadsheet or CSV listing date, vendor, amount, tax and invoice number. Many accountants prefer this to opening dozens of PDFs.
- A backup copy outside your inbox, in cloud storage or on an external drive, because email accounts can be closed, hacked or hit storage limits.

You run the broad Gmail search, label 38 emails, download 31 PDF attachments, save four in-body receipts as PDF from the print menu, and log into three vendor portals for the link-only bills.
